1. About Vex

Vex is a rehost of ERM (Emergency Response Management) by mikeywhiston, licensed under CC BY-NC-SA 4.0. Proper attribution is given to the original creator as required by the license.

2. What We Collect

Vex collects data necessary to function as a Discord bot:

  • Discord Information: User IDs, usernames, server IDs, roles
  • Commands: What commands you use and when
  • Moderation Data: Punishments, warnings, infractions, BOLOs
  • Staff Data: Duty shifts, LOAs/RAs, activity reports
  • ER:LC Data: Server keys, player info, logs (when you link your server)
  • Custom Content: Your custom commands, actions, reminders

3. Why We Collect It

We collect data to:

  • Make the bot work and execute your commands
  • Track moderation and staff activity
  • Provide ER:LC server integration
  • Generate reports and leaderboards
  • Prevent abuse and spam

4. How Long We Keep It

Most data is kept indefinitely for historical tracking (like punishment records and shift logs). Some data is deleted when you leave a server or unlink your ER:LC server.

5. Who Can See It

Server administrators can see data from their server through Vex commands. We never sell your data. Data is processed through Discord's and Roblox's APIs according to their privacy policies.

6. Vex Relay (Desktop App)

Vex Relay reads text from your screen only when you press your capture key, and only on your PC. Your screen is never uploaded. Relay sends requests to the Vex API for your server's data and to Roblox to look up usernames. It has no analytics or tracking.

Relay keeps these on your PC only:

  • Your settings, keybinds and custom alerts
  • Your lookup history, unless you turn it off in Settings
  • Logs, only while Debug log is turned on
  • Your Discord sign-in, in Windows Credential Manager

Signing out removes the saved sign-in, and you can clear your history in the app at any time. Uninstalling Relay deletes all of it. Discord Rich Presence is optional and is sent only to the Discord app on your PC.

7. Your Rights (GDPR)

You have the right to:

  • Access your data: Request a copy of all data we have about you
  • Delete your data: Request deletion of your personal information
  • Correct your data: Fix inaccurate information
  • Manage privacy: Use /consent to control data collection

To exercise these rights, contact @joyclens on Discord. Requests are handled within 14 days.

8. Data Security

We protect your data with secure databases and access controls. However, no system is 100% secure. We can't guarantee absolute security but we do our best.

9. Server Owners

If you add Vex to your server, you must inform your members about data collection and comply with GDPR and other privacy laws.

10. Changes

We may update this policy at any time. Continued use means you accept the changes.
